Calculating the number of brochures you need for next trade show is an important part of the planning process. It affects the budget for printing as well as other elements of exhibiting, such as marketing, exhibit design and drayage. Order too many and you're paying for literature that never got distributed. Order too little, and you're short. As a Las Vegas printing company we often help business across the nature to get their trade show materials printed on time and on budget.

The easiest approach is to go from the number of exhibit personnel that will be at your booth. For example, if you have two staffers manning the booth during the three days of the show and they on average hold four conversations an hour, you are looking at 8 hours x 4 per hour x 2 people x 3 days  = 192 potential conversations.

To the basic number of encounters you need to add the projected number of people that would be just going by and would want a brochure for follow up. Also keep in mind that if you have different product lines, you'll need materials about each line. Does your trade show offer additional promotional opportunities? Maybe you can distribute your brochures at the media center or at the new product showcase. If those opps are available, make sure to budget for additional material.

One of the major costs marketing costs is shipping so it's worth considering printing your brochures at your trade show destination. Research if your printing partner had experience in that area and whether they can also deliver right to the venue. Some venues have union rules on drayage and other types of deliveries, but if your printer does convention and trade show printing regularly, they would be familiar with those regulations and able to offer the best solution.
